What are the Various Statuses of a Screening in Vetty?

Discover the meaning of each status found in Vetty.

We’ve made tracking progress simple; every Vetty status is color-coded so you can spot updates in a snap. Here’s what each one means.
  • Pending Candidate:
    •  
    • We're just waiting for the candidate to finish entering their info (legal name, address, date of birth, Social Security number, etc.) and sign the authorization forms. Once that’s done, we’ll launch the background check right away.
  • In Progress: 
    •  
    • The background check has begun. Vetty’s hard at work collecting info from a variety of sources to make sure everything’s thorough and on track.
  • Information Received:
    •  
    • The background check results are in for this portion of the screening, but they haven’t been released just yet.

    • For candidates: You’ll see an Information Received status for all checks until the full report is complete then everything will be ready for review.
  • Clear: 
    • Nothing reportable came back for this screening. Either no records were found or nothing met the Fair Credit Reporting Act's (FCRA) reporting criteria.
  • Complete: 
    • This status appears next to Social Security Trace and National Criminal Checks when those checks are used as pointer data. Once marked Complete, it means that part’s done and ready to guide the rest of the background check.

      • Pointer data helps us dig deeper — for instance, an SSN Trace reveals alias names, date of birth, and address history so Vetty knows exactly where to search for possible criminal records.
  • Review Needed:
    •  
    • When you see Review Needed, it means Vetty found a discrepancy or charge that we want the client (with proper permissions) to review. It’s not a hiring recommendation, just a signal that there’s something worth checking out.

    • For license, education, and employment verifications, this shows up when candidate-entered details don’t line up with the source. For example: if the candidate lists a license expiration as Jan 2026 and the source shows Feb 2026, that’s enough to flag Review Needed for your review.
  • Reviewed:
    •  
    • This status means that a member of your team reviewed the Review Needed results and confirmed that this check Meets Hiring Criteria.
    • Once that decision is made, the status moves from Review Needed to Reviewed and the candidate is automatically moved into the Ready for Onboarding section.
  • No Records:
    • This status shows up only on SSN Traces and usually happens when a candidate is younger (under 25) or has a newer Social Security number.

    • The SSN Trace checks credit bureau data to verify details like SSN, date of birth, and aliases. If no records appear, it just means nothing was found in the credit header, not that the SSN is invalid.
  • Unable to Verify:
    • This status means we couldn’t get results for this item.

  • Pre-Adverse Action: 
    • This status means a candidate had a Review Needed result that didn’t meet the hiring criteria.

    • A pre-adverse action letter has been sent to notify the candidate that the hiring decision may be affected by something found in the background check. From there, the candidate has seven days to dispute any findings with Vetty.
  • Adverse Action: 
    • This is the final status used when a hiring decision is made not to move forward based on background check findings. At this stage, a final notice has been sent to the candidate explaining the decision.

    • After seven days from the Pre-Adverse Action letter, Vetty sends an alert to users with the right permissions, notifying them that they can now send the Adverse Action letter.
  • Fulfilled By Employer:
    • This status is used when Vetty helps schedule a health screening, but the employer’s in-house clinic handles the results.

    • Since the process was completed internally, Vetty marks the item as fulfilled but doesn’t have access to the final outcome.
