Billing Process and FAQ's
Understanding Vetty's Billing Process and Frequently Asked Questions.
The Billing Process at Vetty
Let’s talk about everyone’s favorite topic...billing! Here’s how Vetty handles invoices, payments, and everything in between so you always know what to expect.
When We Bill
Vetty bills for the previous month’s checks on the last business day of the month (weekends may shift this slightly — we like to keep things predictable).
When you first set up your Vetty account, you’ll see a field for a billing contact email. That’s the address where we’ll send invoices. If you leave it blank, no worries, we’ll send invoices to the Account Creator instead.
What You’ll Receive
Each month, the billing email receives an automated message with two versions of your invoice in PDF and Excel format. These are summary level invoices, giving you a nice high-level view of your month’s activity.
Want the nitty-gritty, per-person details? Just log into Vetty and head to Settings → Invoices. There, you’ll find a candidate-level and package-level breakdown ready for review or download.
Pro tip: If you’d like those detailed versions sent automatically every month, let your Customer Success Manager (CSM) know or email us at support@vetty.co. We’ll make it happen for future invoices.
Payments Made Simple
If your payment method is Stripe, the billing email will also receive a message from Stripe when your invoice is ready. Heads-up: Stripe waits about one hour before sending new invoices. (We think they're just building suspense.)
If your monthly payments are under $1,000, you’ll be auto-charged using your default payment method in Stripe. Need to update that card or switch payment info? You can do it anytime through our Stripe Client Payment Portal.
Note: As of May 2023, there is a 3% processing fee on all payments made via credit card.
Billing FAQ's
How do I change my billing email address?
Easy! Just reach out to your CSM or email us at ar@vetty.co, and we’ll help get your billing email updated.
I have a Stripe invoice — how do I view my detailed invoice?
No need to dig through your inbox. You can view your invoices anytime by logging into Vetty, heading to Settings → Invoices, and checking out all your monthly invoices.
If your company uses locations, you can also filter by location using the handy dropdown menu to see invoices per location.
How do I know what is paid and unpaid on my account?
Shoot a quick note to ar@vetty.co. Our team can confirm what’s been paid and what’s still outstanding...no guessing games required.
What is the third-party fee that I see on my invoice?
If you’re running County, State, or Federal criminal checks, Motor Vehicle Record checks, or Verifications, you might spot a third-party fee on your invoice.
These fees come straight from certain jurisdictions that charge for searching their systems...not from Vetty. So, if you’re running a 7-year, 3-county search or multiple checks, you may see more than one fee per candidate.
You can view the most up-to-date third-party fee sheet here: http://vetty.co/pass-through-fees
Note: These fees can change at any time as they are set by the governing bodies, not Vetty. We pass them along exactly as charged, with zero markup.
I didn’t order a Statewide — why is that fee on my invoice?
Vetty has a smart automation in place for those pricey $98 counties in New York.
Here’s what happens: when you order a county check in one of those areas, we automatically cancel it and run a Statewide report instead (also $98).
That way, if you’re running a 7-year, 3-county search, you’re not hit with $196 or $294 in duplicate fees. Just one flat rate — efficient and wallet-friendly.
