How to review an IDV Fail or Needs Review
Once ID Verification is part of your Vetty package, your candidates will be prompted to scan the front and back of a government-issued ID and take a quick selfie. Vetty partners with Veriff, our trusted third-party IDV vendor, to process the scans and flag anything that doesn’t look quite right.
Want the inside scoop on what can trigger a flag? Check out this article on IDV flags.
Candidate IDV Process
When a candidate’s package includes ID Verification, they’ll kick things off right after setting their password. From there, they’ll be prompted to scan their ID.
They can:
-
Use a smartphone (options #1 or #2)
-
Or hop on a computer (option #3)

Once they’ve chosen their method, they’ll scan a valid government ID and snap a quick selfie. In the U.S., Veriff accepts passports, ID cards, driver’s licenses, or residence permits.
Note: Make sure the device’s camera permissions are turned on so the web app can take the photos.

After the selfie is complete, the candidate will continue through the Vetty application and give their consent for the screening.
ID Verification Decisions
Once the candidate completes their scan, Veriff reviews the submission and makes a decision. The result will be one of three: Approved, Declined, or Review.
If the result is Declined or Review, Vetty will display additional reason codes explaining why. Curious about what those mean? Check out this article.
Verified: This means that Vetty received a positive, conclusive decision from Veriff. That means the candidate successfully provided:
-
Clear photos and/or a short video upload.
-
A valid ID document with readable, matching information.
-
A high-quality portrait photo.
-
A portrait that matches the photo on the ID.
When this happens, Vetty pauses all other items in the screening until the issue is resolved.
Want to give your candidate another shot? No problem — just click Add New Check and create a brand new ID Verification session.
A negative conclusion from Veriff means something didn’t quite check out during the ID Verification process. This can happen when:
-
A physical ID document wasn’t used.
-
The document shows signs of tampering.
-
Veriff detects suspicious behavior during the scan.
-
The person in the selfie doesn’t appear to match the photo on the ID.
-
There’s velocity or abuse activity (like too many verification attempts).
-
The ID matches a known fraud record.
-
The candidate is under 18 years old.
-
The name on the ID doesn’t match the name entered on the Vetty order (that’s the name provided by whoever placed the order).
How to Handle a Review or Declined Decision
Once Veriff makes a determination, your ID Verification will show one of four statuses: Information Received, Verified, Review Needed, or IDV Fail. If it’s Verified, you’re all set — no action needed. For the other statuses, you’ll just need to take a quick look and decide how you’d like to move forward.
To review the IDV:
- Open the Vetty file.
-
Look for the orange action box — it shows the main reason code for the review.
Our team will also upload a PDF of the full Veriff report so you can see all the details. If you don’t see that report, no worries — just email support@vetty.co, and we’ll make sure it’s added.
- Want more context? Check out our Reasons for Review article for a deeper breakdown of what certain flags mean here.
- After reviewing the file, you’ll need to choose what to do next. There are five actions available:
-
Ask the candidate to upload a new photo of their ID in Vetty. The upload will appear under Documents and Disclosures. We’ll automatically send five reminders over five days. Once the candidate uploads the new photo, you’ll get an alert, and the reminders will stop.
-
Ask the candidate to upload a new selfie directly in Vetty. This also appears under Documents and Disclosures. We’ll automatically remind them five times over five days until complete. You’ll receive an alert once it’s uploaded.
- Add a new ID verification. Want to give the candidate another shot at automated verification? Click Add New Checks (at the top of the candidate profile) and add a new ID Verification session.
- Mark the candidate as meets hiring criteria. Confident moving forward despite the flags? Select Meets Hiring Criteria — this marks the ID Verification as Verified and moves the process along.
- Mark the candidate as doesn’t meet hiring criteria. If you decide not to move forward, select Doesn’t Meet Hiring Criteria. The file will update to IDV Fail status.
-
An IDV Fail occurs when:
-
The candidate is under 18 years old,
or
-
It’s been more than 21 days since they began ID Verification and it’s still incomplete.
If you still want to move forward with a candidate who’s under 18, email support@vetty.co, and we’ll help get things sorted.
If it’s been over 21 days and you’d like to keep the file active, you can:
-
Place a new order
or
-
Contact our team to reset the timeframe (a small additional charge applies for a new ID session).
